One Login
Cross-venue recognition
Works in every country

"Why do I keep filling this form in every time?"

Your guests are asking this. With One Login they connect to your WiFi once and are recognised at every venue, every location, every country. One login. That's it. Forever.

One Login - Recognition engine
Guest connects to WiFi
1
Device recognised
Returning phone - straight online. Nothing shown.
2
Phone looks new - email only
iOS changed device ID. One field. Two seconds. Done.
3
New guest - full portal once
First time ever. Complete it once. Never again.
Guest online. Profile updated.
Recognised at every venue from here forward.
Privacy by design

GDPR compliant. By default, not afterthought.

One Login is built with guest privacy at its core. Profiles are protected when dormant and reactivated seamlessly when needed. Compliance is automatic.

Profiles encrypt after 365 days
If a guest has not visited any venue in your estate for 365 days, their profile is encrypted automatically. ICO compliant. No manual process required.
Reactivated silently on return
When a guest returns after inactivity, their profile reactivates the moment they connect. Recognised again instantly. No new form. No lost history.
Full consent record on every profile
Every profile carries the exact consent wording shown, timestamp and IP address. SAR requests handled automatically. Full audit trail always available.
How One Login works

Three paths in. One outcome every time.

Every guest who connects to your WiFi takes one of three recognition paths. All three end the same way - guest online, profile updated, no unnecessary friction.

1
Device recognised
The guest's device is known from a previous visit - same venue or anywhere across the estate. They are straight online. Nothing shown. Nothing asked.
Instant. Zero friction.
2
Device looks new - email only
The phone changed its device ID - iOS or Android MAC randomisation. We detect this and show one field only: email. Guest types it in two seconds. Profile matched.
2 seconds. One field.
3
Genuinely new guest
First time ever connecting anywhere in the estate. They complete the full portal once. Name, email, consent. That is the last time we ever ask. From this point, they are One Login.
Once. Then never again.
About MAC address randomisation
Modern iPhones and Android phones now change their network identity every time they connect to a new WiFi network - a privacy feature built into iOS 14 and Android 10 onwards. Most WiFi platforms rely entirely on this device ID, so when it changes they treat the returning guest as a complete stranger. CaptiveWiFi handles this automatically. When a new device ID matches a known email address, the profile is matched silently and the guest is online with no form, no friction and no interruption.
Live CRM Lookup

Recognition is just the start. Then we tell you who they are.

The moment One Login recognises a guest, CaptiveWiFi queries your CRM in real time. Their tier, points balance, visit history and tags are pulled live before they reach the table. Your team knows who just walked in before they say a word.

CRM profile pulled live
At the moment of WiFi login, CaptiveWiFi queries Airship, Leat, SevenRooms and more in real time. Tier, points, visit history - all live, all instant.
Live Guest Dashboard
Every connected guest appears on your floor team's live dashboard - with their full CRM profile, loyalty tier, visit count and active tags updated in real time.
New guests enrolled instantly
If no CRM profile exists, CaptiveWiFi creates one at the point of WiFi login. Verified, opted-in, consent-backed. Ready in your platform immediately.
Guest Footprint

See everywhere your guests have been across your brand.

One Login builds a complete picture of every venue a guest has visited across your entire estate. Data no POS, no reservations system and no loyalty app can give you.

International visit
Identify your most travelled guests
Segment guests who visit 3 or more locations across your estate. Your highest-value cohort - the ones loyal to the brand, not just a single venue.
Trigger CRM events on first new-location visit
When a guest visits a location for the first time, CaptiveWiFi fires an event in Airship, SevenRooms or Leat - triggering a personalised welcome campaign automatically.
International guest intelligence
Know when a home-market regular visits an international venue. Flag travelling regulars. Understand your most globally loyal guests.
Cross-site data flows into your CRM
The full guest footprint - every venue, every date, every recognition method - flows live into Airship, SevenRooms, Leat and your other connected platforms.
FAQ

Common questions about One Login.

Does this work across different WiFi network names?
Yes. One Login is tied to the guest's profile, not the WiFi network name. Whether your venues use different SSIDs, different routers or different hardware vendors - the recognition layer works across all of them.
Does One Login work across different brands under the same group?
Yes. If you operate multiple brands under one group account, One Login works across all of them. A guest who connects at Brand A is recognised at Brand B. Cross-brand recognition can be configured per group.
What if a guest uses a different email address?
If a guest provides a different email at a new venue, a new profile is created for that address. If they later use the original email again, the original profile is recognised. Duplicate profiles can be merged via the CaptiveWiFi dashboard.
Do guests need to download an app?
No. One Login works entirely through the browser-based captive portal. Nothing to download. No account to create. The guest connects to WiFi and the recognition happens in the background.
Can I see which venues a guest has visited?
Yes. The Guest Footprint view in your CaptiveWiFi dashboard shows every venue a guest has visited across your estate - with dates, locations and recognition method. This data also flows into your CRM via the integrations.
